In the early days of a startup, everyone does everything. Somebody orders tea, somebody collects the courier and somebody notices that the washroom needs attention. As the team grows from five people to fifty, these small jobs stop being small. They start eating into the time of the people you hired to build the product. This guide explains how to organise office support so that it works as you grow.
Step 1: List the jobs that actually need doing
Start by writing down every routine task that keeps your office running. Most startups find they fall into three groups.
Office support. Moving documents, collecting and sending courier, bank and government errands, photocopying and filing, stationery, opening and closing the office, meeting-room setup and serving water to visitors.
Pantry. Tea, coffee and beverage service, pantry cleaning, restocking tea, coffee, sugar and disposables, and refreshment service for meetings.
Housekeeping. Sweeping and mopping, dusting desks and furniture, washroom cleaning, glass and partition wiping, dustbin emptying and common area cleaning.
Keeping these three separate matters. They need different skills, different timings and often different people.
Step 2: Decide who owns support
In a small team, support often falls to whoever is nearest, which usually means a founder or a senior employee. That does not scale. Name one person as the owner of office operations, even if it is only a part of their role. Their job is not to do the tasks, but to make sure they are done and to be the single point of contact for the support team.
Step 3: Choose how to staff each area
For each group of tasks, decide whether to hire directly or work with a provider. Many startups use an outsourced provider because it avoids recruitment, verification and paperwork, and because the arrangement can scale up or down. Co-working spaces and small tech offices in areas such as HSR Layout and Koramangala commonly work this way. Our comparison of an office boy versus an outsourced agency sets out the trade-offs.
Step 4: Write down the scope
A short written scope for each role prevents most disagreements. Include the duties, the working hours, who supplies materials such as cleaning supplies or tea and coffee, and how leave is covered. Share it with the support team and the provider, and revisit it when your team doubles.
Step 5: Plan for leave and absence
In a ten-person office, one absent support person can make a visible difference. Plan for this from the start. Working with a team of at least two, and with a provider that arranges replacements, means your routines keep going without anyone scrambling.
Step 6: Set simple routines
Routines make support predictable. Some examples:
- A morning housekeeping shift that finishes before the team arrives.
- Tea and coffee rounds at fixed times, plus service on request for meetings.
- A daily document and courier round at a set time.
- A short checklist for opening and closing the office.
Our office housekeeping checklist is a good starting point for the cleaning routine.
Step 7: Review regularly
Spend ten minutes each week with the person who owns operations. Is the pantry stocked? Are washrooms in good shape? Are errands done on time? Small adjustments each week beat a large complaint after a month.
Step 8: Scale deliberately
As the team grows, support needs grow in steps rather than smoothly. A move to a new floor, a second office or a new shift pattern all change what you need. When that happens, review the scope, talk to your provider early and agree changes in writing.
Common mistakes
- Letting support fall to whoever is nearest.
- Mixing the three roles in a single vague job description.
- Having no plan for absence.
- Skipping verification when hiring in a hurry.
- Never reviewing the arrangement as the team changes.
