A clean office does not happen by accident. It happens because someone knows exactly what needs to be done, when, and how to check that it was done. Whether you manage housekeeping staff yourself or work with a housekeeping company, a written checklist is the simplest way to keep standards steady. Here is a practical office housekeeping checklist you can adapt for your workplace.
Daily checklist
Floors
- Sweep and mop all floors, including corridors, the reception area and the pantry.
- Check entrances for dust and marks, since this is the first thing visitors see.
Desks and work areas
- Dust desks, chairs, cabinets and shelves.
- Wipe common surfaces such as meeting-room tables.
- Leave personal papers and equipment where they are.
Washrooms
- Clean and sanitise toilets, wash basins and floors.
- Check and refill soap, tissue and other consumables.
- Do a mid-day round in busy offices, not just one morning clean.
Glass, partitions and doors
- Wipe glass doors, partitions and handles that people touch often.
Waste
- Empty dustbins at every desk cluster and in common areas.
- Move waste to the designated collection point and replace bin liners.
Pantry and common areas
- Wipe pantry counters, sinks and tables.
- Clean lobbies, seating areas and meeting rooms.
Weekly checklist
- Clean the insides of cabinets and drawers that are used for shared items.
- Wipe skirting boards, door frames and window sills.
- Clean air-conditioning vents and fans where they can be reached safely.
- Wipe down chairs and upholstered seating as appropriate.
- Check and clean pantry equipment such as refrigerators and microwaves.
- Wash dustbins.
Monthly or periodic checklist
- Deep-clean washrooms.
- Clean ceiling fans, light fittings and high surfaces where it can be done safely.
- Clean glass surfaces in more detail.
- Review stock of cleaning supplies and washroom consumables.
- Arrange deep-cleaning support where it is included in your agreed scope.
Tips to make the checklist work
Put it in writing and display it. Keep a printed version where the housekeeping team can see it, and tick items off at the end of each shift.
Agree timings. Decide which tasks happen before staff arrive, which happen during the day and which happen after hours. A morning team that finishes before staff arrive works well for many offices.
Agree who supplies what. Cleaning materials, machines and washroom consumables should be assigned to you or to your housekeeping provider, and written into your agreement.
Review regularly. A short weekly walk-through with the team lead catches small problems before they grow.
Plan for leave. If one team member is away, who covers their tasks? A team of at least two and a clear replacement arrangement keeps the checklist on track.
Adapting the checklist to your office
Different workplaces need different emphasis. A busy IT floor with many people needs frequent washroom checks and pantry upkeep. A clinic needs extra care for sanitisation. A showroom needs special attention to glass and floors before opening time. A factory office near an industrial area may need extra attention to entrances and common areas.
Start with this checklist and edit it for your office. If you work with a housekeeping company, share it during your first conversation so that the agreed scope matches what you need. Our guide on questions to ask before hiring a housekeeping company can help.
