A housekeeping team can only keep an office clean if its hours match how the office is used. A team that arrives after the rush cannot fix what the rush created. Shift planning is the part of housekeeping that is easiest to get wrong. This guide explains the common patterns and how to choose.
Start with how your office is used
Ask a few questions.
- When do most people arrive and leave?
- When are washrooms and the pantry busiest?
- Are there visitors at particular times?
- Does anyone work late or at weekends?
- Which areas must be ready before opening?
The answers show where cleaning effort needs to go.
Common shift patterns
Morning shift
The team arrives before staff and finishes the main cleaning before the working day starts. This works well for floors, desks, glass and general tidying. Offices that want floors ready before staff arrive, including those along the Outer Ring Road around Marathahalli and Bellandur, can choose this pattern.
Day shift
The team stays through the day. This suits offices with heavy washroom and pantry use, because rounds can happen at set times. It also means someone is on site to handle spills and urgent requests.
Split or staggered shift
Part of the team works early and part works during the day. For larger offices this gives both a ready workplace in the morning and ongoing upkeep.
Evening or night shift
Used where cleaning can only happen after hours, for example in offices that run through the day with no quiet window.
How many people at each time
A team of two is the minimum at Vucare. Two people can split into a floor-and-desks role and a washroom-and-pantry role, or alternate. Bigger floors need more people, and your provider can discuss how to scale.
Build a rota
Write down each shift: start time, end time, tasks and who does what. For example:
- Early: floors, desks, glass and meeting rooms.
- Mid-morning: washroom round, waste collection.
- After lunch: pantry and common areas, washrooms again.
- Late afternoon: final washroom round, dustbin emptying, tidy-up.
Share the rota with the team and your staff.
Plan for leave
Shifts only work if someone turns up. Ask how absence is covered. A team structure, with a replacement arranged during leave, keeps shifts on track.
Review and adjust
After a few weeks, check whether the pattern fits. Maybe the washrooms need an extra round, or the early shift can finish sooner. Small adjustments make a big difference. Our office housekeeping checklist and washroom hygiene checklist help you set expectations.
Agree it in writing
Timings and shift patterns should be written in your quotation. Vucare discusses timings with you on a call, then confirms them in writing.
Common mistakes to avoid
- Choosing a shift pattern that ignores when washrooms and the pantry are busiest.
- Scheduling a single clean when two or three rounds are needed.
- Not telling the team about late working or events.
- Never adjusting the rota after the first few weeks.
A short written plan and a quick weekly review avoid most of these problems.
