First-Week Plan When a New Support Team Joins Your Office

A new support team settles in fastest when the first week is planned: name one contact, prepare access and supplies, walk the premises on day one, practise the routine and review at the end of the week. This plan suits pantry, housekeeping and office boy teams in Bangalore offices.

First-Week Plan When a New Support Team Joins Your Office

A new support team does best when the first week is planned. Without a plan, staff guess what you want, and small misunderstandings grow. With a plan, the team settles in quickly and your office sees the benefit from the start. Here is a simple first-week plan that works for pantry, housekeeping and office boy teams.

Before day one

  • Confirm the scope. Share the written scope and quotation with your own staff.
  • Name a contact. Choose one person who briefs the team and answers questions.
  • Prepare access. Arrange keys, entry passes or any access the team needs.
  • Prepare supplies. If you supply materials, tea, coffee or stationery, have them ready.
  • Tell your staff. Let people know a new team is joining and what they will do.

Day one: introductions and walk-through

  1. Meet the team and introduce them to your contact person.
  2. Walk the premises: pantry, washrooms, meeting rooms, storage and exits.
  3. Show where supplies are kept and where waste goes.
  4. Explain house rules: hours, behaviour with visitors, handling of documents and keys.
  5. Walk through the written routine and answer questions.

Day two and three: practise the routine

  • Let the team run the routine with light supervision.
  • Note small corrections and give them straight away, politely.
  • Check the pantry rounds, washroom rounds or document rounds against the schedule.

Day four and five: fine-tune

  • Adjust timings if a round is too early or too late.
  • Add anything missing from the checklist.
  • Check stock levels and the reorder routine.
  • Ask your staff for quick feedback.

End of week: a short review

Spend ten minutes with the team lead. Ask:

  1. What worked well?
  2. What was unclear?
  3. What should change in the scope or timings?
  4. Is the number of people right?

Write any changes down and share them with the provider, so the quotation matches reality.

For pantry teams

Check that beverage rounds happen at agreed times, that counters, sinks and equipment are cleaned between rounds and that stock is tracked. The pantry hygiene checklist is a good reference.

For housekeeping teams

Walk the floor with the team lead, check washrooms and common areas and confirm the shift pattern. See shift planning.

For office boy teams

Agree document rounds, errand boundaries and opening and closing routines. The job description template helps.

Keep communication simple

One contact on each side, a short weekly check-in in the first month and changes confirmed in writing keep everything smooth.

Common mistakes to avoid

  • Starting without a named contact person.
  • Forgetting to prepare access and supplies.
  • Not telling your own staff about the new team.
  • Skipping the end-of-week review.

A short written plan and a quick weekly review avoid most of these problems.
